Working Time Solutions and Royal Holloway shift planning and workforce management software

Customer: Royal Holloway University of London

Sector: Education

Summary: Workforce management software for Facilities Management

Royal Holloway University’s 180-acre campus in Egham, Surrey is maintained by an Estates Department comprising full-time electricians, plumbers, builders, carpenters, painters, maintenance engineers, grounds and gardeners.

Working Time Solutions had already helped the team implement Demand-Led Rostering, which delivered significant cost savings and work-life balance improvements by reducing overtime, call outs and the use of agency staff.

To manage this new way of working and maintain the benefits achieved, Royal Holloway University chose to implement our cloud based WORKSuite® shift planning and workforce management software.

The system was configured to optimise capacity and scheduling, provide compliance assurance with Working Time Regulations and minimise the administration around managing team holidays, absence and shift swaps.

Employees were also given the myTIME self-service app which allows them to check their working hours, request holiday and arrange shift swaps via their mobile devices.

“Changing employees shift patterns delivered considerable benefits, so it made sense to use specialist software to ensure rostering, scheduling and workforce management processes were optimised too.
WORKSuite®gives us the ability to plan better, execute day-to-day management tasks more easily and empowers employees in the Facilities Management Department to exercise more control over their working time.
“It's powerful but easy to use and, being cloud-based, it’s cost effective and regularly updated.”
Daren Bezants, Head of Maintenance Services, Royal Holloway University of London
